Communicating with Guests – ResMail Pro’s Letters for Check-in and Check-out

If you’re a large rental company with a busy summer season, one of your toughest challenges is likely ensuring that guests have all the info they need to enjoy their vacation.

From check-in procedures to departure instructions, making sure that guests understand what to expect, (as well as what’s expected of them), can be a tricky endeavor.

This is exactly where ResMail pro’s letters for Check-in and Check-out come into play.

If you’re an active ResMail pro user, then you likely already know that this tool has dozens of letters to choose from which covers all stages of the reservations process. From a new guests’ first booking, to touching base months after they leave, communications via ResMail Pro check off all the boxes

And the check-in and check-out letters are designed to reach guests while they are staying in one of your vacation rentals. Essentially, the check-in letter can be sent shortly after they have officially arrived, with instructions on how to enjoy their vacation. This can include information such as when trash is picked up in their area, special events that coincide with their stay, and how to contact your office if they have any questions during the week. (TIP: If you have a corresponding real estate department, the check-in letter is also a great way to remind guests that they can stop by and get area real estate info during their stay!)

Meanwhile, the check-out letter can be sent a day or so before the guests’ departure, reminding them of important things they need to do before they leave, such as cleaning instructions, where to leave the keys, check-out time, and even how to book the same home for the following year.

Obviously, the exact content for each of these letters will vary based on your company’s policies and ultimate goals, but both letters are a great vehicle for grabbing a guest’s attention while they are staying in your vacation rental.

Remember, you can always add more letters to your suite of ResMail Pro letters – all you have to do is make a request through our support system, and we’ll be happy to help!

And with so many ways to communicate with guests before, during, and well after their vacation, it’s no wonder that ResMail Pro is continually one of LSI’s favorite tools.
